Position Title: Executive Administrative Assistant

Location: Plano, Texas

Position Summary:

  • Act as the point of contact between the CFO, other executives and internal/external clients

  • Perform all administrative tasks for the Office of the CFO and provide administrative support for the Finance Organization, globally

  • Handle requests and queries appropriately, whether written, by phone or in person

  • Maintain Calendar, arrange meetings and appointments and provide reminders for CFO

  • Make travel arrangements for CFO and other Finance leadership

  • Responsible for expense submission and reconciliation

  • Take minutes and compile written documentation accurately

  • Produce reports, PowerPoint presentations and briefs

  • Develop and carry out an efficient documentation and filing system

  • Serve as investor relations coordinator and maintaining and coordinating inbound/outbound communications

  • Administer Quarterly Financial Certification process

  • Coordinate onsite logistics for General Information (All Employee) Sessions and other Plano events.

  • As needed, serve as project coordinator, ensuring all elements of event/project/communication occur

  • Responsible for logistics for the Audit Committee and/or Board meetings including notifications, preparation of materials, organizing dinners and generally supporting all committee members

  • As a member of the Ribbon admin team, works closely with other Executive Assistants across the organization.


Experience and Skills:

Required Skills and Experience:

  • 10-12 years proven experience as an executive administrative assistant or in other secretarial position(s). Senior level support experience preferred

  • Full comprehension of office management systems and procedures

  • Strong computer and Internet research skills, including working knowledge of MS Office

  • Exemplary planning and time management skills

  • At least 5 - 6 years project coordination experience

  • Flexibility in a challenging work environment

  • Ability to multitask and prioritize daily workload

  • Excellent interpersonal and customer relationship skills

  • High level verbal and written communications skills

  • Ability to work well with all levels of internal management and staff, outside clients and vendors

  • Discretion and confidentiality

  • Post-secondary degree in business or related field is desired but not mandatory; additional qualifications as personal assistant would be considered an advantage

  • Integrity and focus on compliance in reporting, financials and policies

  • Experience and comfort working at the executive level
