Position Title: Senior Proposal Specialist

Location: Westford, MA (please use 2 character state code if in US)

Position Summary:

We are looking for a Proposal Manager to join our team.


RFP Analysis
• Evaluate Request for Proposals to determine logistical requirements of the response, associated timelines and deadlines, etc.
• Evaluate risks and dependencies associated with response
• Determine nature of specialized knowledge needed for a successful response
• Define functional participants and assemble response team


First Pass – RFP Questions
• Perform a first pass on technical questions using past proposals, boilerplate, documentation and other company materials and available information resources
• Answer general corporate RFP questions


Logistics – manage all steps of document creation including:
• Develop Responsibility Matrix
• Integrate stock boilerplate material
• Edit input for clarity, responsiveness, RFP compliance, and grammar, as needed
• Format and organize final documents
• Monitor and manage multidisciplinary response team throughout the process via team calls, remote meetings, and/or periodic email or message-based text updates, as required
• Collaborate across different time zones and be able to work extended hours as needed, occasionally on weekends if required
• Manage collaborative work assets and tools, including MS Teams response sites and other shared repositories


Project Management
• Create, communicate and enforce project schedule
• Collaborate with sales team to secure technical or product management or marketing resources
• Coordinate and edit team member input
• Identify and escalate identified risks to appropriate management level for resolution
• Manage conflict and mediate resolution


Business Development
• Build strong relationships with sales teams and subject matter experts (e.g., product managers, legal counsel, professional services, operations, etc.)
• Work with sales teams to identify strategic themes, key benefits, and differentiators, and incorporate them into winning proposals


Quality Assurance
• Schedule draft reviews
• Edit collaborator/subject matter expert responses to ensure quality of business communications
• Review colleagues’ documentsBoilerplate Content Development
Assist team in developing and updating product boilerplate and reference documents for use in future responses

Experience and Skills:

• Demonstrated ability to produce high-quality documents under pressure in a dynamic, fast-paced environment
• Strong project management skills and experience and the ability to work well with various cross-functional groups across the organization
• Strong interpersonal skills and ability to work closely within a small team as well as independently
• Ability to multitask and maintain excellent attention to detail
• Thorough understanding of the proposal process
• Superior writing and editing skills
• Extensive knowledge of and experience with relevant software programs (i.e. MS Word, Excel, PowerPoint)
• Must possess creative approach to problem solving
• Technical writing experience in data communications and/or telecommunications products preferred
• Knowledge of group administration and site management in MS Teams helpful
• Knowledge of and demonstrated expertise with Salesforce.com a plus, including ability to conduct sales opportunity analysis and prepare financial summary information and documentation
• 5 to 10 years’ experience as a proposal manager, project manager, technical writer, or marketing specialist in a high-tech environment, preferably in a solutions-based firm selling customized suites of hardware, software, and services
BA/BS in in a writing-heavy discipline (Communications, Marketing, Business, Journalism, English) is strongly desired. Additional work towards a degree in an engineering discipline is an advantage
